Using a Virtual PA for Property Management

Non-delegable duties

A handful of decisions and duties should stay with you, or with a suitably qualified professional you have specifically engaged, regardless of how good your virtual PA is at everything else.

  • Financial decisions with real consequences. Approving a large repair, agreeing a rent increase, or negotiating with a tenant over arrears are decisions that should involve you directly, even if a PA has gathered the information and drafted the communication.
  • Anything irreversible. As a general rule, if an action cannot easily be undone, a human should confirm it before it happens, whether that is sending a legal notice, releasing a deposit deduction, or committing to a contractor's quote.

The useful mental model is that a virtual PA, especially an AI-assisted one, should draft and prepare, surfacing the information and a recommended next step, while you or another named decision-maker gives the final confirmation on anything that matters. This gets you most of the time saving without handing over the calls that genuinely need a person accountable for them.

A worked example. A tenant emails to say the boiler has stopped working. A well-set-up virtual PA logs the report, checks it against the property's boiler service history, contacts an approved contractor to arrange a visit, and drafts a message back to the tenant confirming when someone will attend. What it does not do is decide, on its own, to approve an unusually large quote if the contractor finds the boiler needs full replacement rather than a repair.
